Office Coordinator

We are looking for an Office coordinator to help organise and coordinate administration duties, office procedures and functions. Your role is to create and maintain a pleasant work environment, ensuring high levels of organisational effectiveness, coordination, communication and safety.

This is a part time role (22.5 hours per week – negotiable) based in our Southampton office, flexible working hours are available. Due to the nature of the role, regular in-office working is required but some home working will be possible.

Responsibilities

  • Keeping office safe, clean and organised
  • Stocking office supplies
  • Managing H&S risk assessments, procedures and policies together with regular reviews
  • First aid oversight and qualification (first aid training to be provided)
  • Arranging meetings/appointments/presentations and more
  • Organising office operations and procedures
  • Providing support to visitors, clients and the team
  • Assisting in onboarding new hires
  • Addressing employee queries regarding office management (e.g. stationery, hardware and travel arrangements)
  • Plan in-house or off-site activities, like parties, celebrations and conferences
  • Liaising with IT support
  • Assisting the MD and Project Managers with day to day tasks

Requirements and skills

  • Experience as an office coordinator, manager or similar role
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in Google Workspace applications
  • Excellent time management skills and ability to multitask and prioritise work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organisational and planning skills
  • A creative mind with an ability to suggest improvements
